Overview of prepaid order list

Introduction

You can obtain the overview of prepaid order list at Purchase ➔ Reports ➔ Various ➔ Prepaid order list. The prepaid order list provides overview of all prepayments for the purchase orders, with the condition that the prepayment must be linked to the purchase order. This overview shows the amount of prepayment for each purchase order with an indication of whether the prepayment has been paid.

Description

You can filter the prepaid purchase orders that you want to display by specifying one or more of the following search criteria. The purchase orders that match the search criteria you have specified are then displayed. A list of options appears if you click the Browse button in the Supplier box and Purchase order box. From the list, make your selection and click Select.

General section

PO date

Type or select a range of purchase order date to display prepaid purchase orders with the selected date range. By default, the All check box is selected to display prepaid purchase orders with any date.

Note: Typing or selecting only the start date will display prepaid purchase orders created on the selected order date and later dates. Typing or selecting only the end date will display prepaid purchase orders created on the selected order date and earlier dates.

Supplier

Select a supplier to display prepaid purchase order(s) for the selected supplier.

Purchase order

Select a purchase order number to display the selected prepaid purchase order.

Buttons

Display

Click this to display the overview of the purchase orders prepaid list based on the specified search criteria.

The overview of prepaid order list shows information such as the purchase order number, prepayment amount, indication of whether the prepayment has been paid, supplier account number, indication of attachment and notes, indication of authorization, description, purchase order date, purchased amount, and supplier’s account name.

Note: It is possible that not all columns in this example are displayed. You can add or delete columns as required. For detailed instructions on how to customize displayed columns, see Inserting and deleting columns

After clicking this, the following options are available:

  • Note- Click this to retrieve the note(s) for the selected purchase order. A green check mark at the selected purchase order’s Note column indicates that the purchase order has a note. The Note button is enabled only if the selected purchase order has a note.
  • Attachment - Click this to retrieve the attachment(s) for the purchase order. A green check mark at the selected purchase order’s Attachment column indicates that the purchase order has an attachment. The Attachment button is enabled only if the selected prepayment of the purchase order has an attachment.
  • Export - Click this to export the overview to Microsoft Excel.
  • PO - Click this to view or edit the selected purchase order.
  • Close - Click this to exit.
